Some of this you can buy in pieces. Some of it you cannot buy at all.

Every tool below is real and your firm bought it for a good reason. None of them holds a client’s whole engagement, and none of them can keep one partner’s matter out of another partner’s view while both work in the same system.

What your firm already has

Every one of these is a real product. None of them holds the whole engagement.

Read down the columns, not across. The gaps never land in the same place twice, and nothing in this table joins a call to a meeting to a matter to the promise somebody made on Tuesday.

An answering service

Moneypenny, Smith.ai

  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

Takes a name and emails somebody. It was never told which matter this is, and it learns nothing from the last call.

A digital recorder

Pocket AI, or the voice memo app

  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

Hands back a transcript. Turning that into a note and getting it onto the file is still half an hour of your evening.

A meeting notetaker

Otter, Fireflies, Copilot in Teams

  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

Works on a video call and not on a meeting held round a table. Produces a summary nobody files.

Your practice system

Clio, LEAP, iManage

  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

Holds what somebody typed into it. It captures none of the conversation that produced the file.

Microsoft Copilot

Across Outlook and Teams

  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

Knows your inbox well. It has no phone line, no intake, and no idea what was said on a call.

WasilX
  • Answers the phone
  • Covers your own line
  • Writes up meetings
  • Lands on the matter
  • Knows the history

One record per client, built from the conversations rather than typed up after them. Nothing lands on a file without a lawyer confirming it.

A half-filled mark means the tool does part of the job. A meeting bot writes up a video call but not a meeting held round a table; Copilot knows your inbox but not the phone call. Every one of these is a real product bought for a real reason. The point is that the gaps are never in the same place twice, which is why a firm ends up paying for four of them.

What the joined-up version looks like.

Speed to lead, court hours, repeat callers, follow-up and meeting write-ups, set against how each one goes today.

See it side by side

Four things you cannot buy anywhere else.

One partner's matter stays out of another partner's view
Meeting access narrows the file, it never widens it. Adding a colleague to a matter does not hand them every note ever recorded on it, and somebody who cannot read a meeting sees nothing about it at all: not a summary, not a count, not that it happened.
The consultation writes itself up onto the matter
Not a transcript in an inbox. A structured note with agreed actions, owners and dates, against the file, attributed per speaker when everyone joins from their own device, including a client who never makes an account.
You can ask the firm's own record a question
What changed on this matter, who is still waiting, what was promised on a call in March. Answered from your rows with the source beside it, and bounded by what the person asking is allowed to see.
Cam confirms who is calling before it says anything about a file
A phone can be shared and caller ID can be faked, so continuity waits for identity. No answering service does this, because no answering service has the file.

Harvey and Legora are not on this page on purpose.

They make the legal work better: research, drafting, review. None of it reaches your client until a lawyer sends it, and none of it knows whether anybody did. We are the part your client actually meets. A firm running one of them is a better fit for us, not a worse one.

Bring the tool you are comparing us against.

We would rather walk through the gap on a call than have you find it during a pilot.
